Who is responsible for your information?

Always On Events is the trading name of ALWAYS ON EVENTS LTD, registered in England and Wales, company number 16066416. Our registered office is Always On Events, 736–740 Romford Road, London, England, E12 6BT. The company is the controller for the website and enquiry information described here.

For privacy questions, rights requests or complaints, write to info@alwaysonevents.co.uk, call 07999 143271, or post to our registered office marked “Privacy”. You can also use the email choices on our contact page; review and edit the prepared message before sending it.

Browsing this website

We do not add analytics, advertising trackers, tracking pixels or embedded social-media players to this website. It does not set cookies or use local or session storage to keep enquiry details. See our cookies and browser-storage information.

Our hosting provider, Vercel, processes technical request information needed to deliver and protect the site. This can include your IP address, requested page, browser information and request time. Security and diagnostic logs are different from the enquiry details you type into the form.

How the enquiry composer works

The website prepares a message in your browser; it does not submit your typed enquiry to a website database. Your name is required to prepare a quote message, while the other form fields are optional. Give only the contact and event details needed for your enquiry, and avoid payment-card information or unnecessary sensitive information.

Opening the email chooser does not open an account or send a message. If you explicitly choose WhatsApp, Gmail or Outlook, the details needed to prepare your message are passed to that service in its prepared-message link, before you press its final send button. “My email app” uses your device’s chosen handler. Each chosen service also handles information under its own terms.

“Copy message” places the prepared text on your device’s clipboard only when you ask it to. A manual-copy alternative is provided if the browser cannot copy it. The website does not send an email, WhatsApp message or booking for you: review it and send it in your chosen service. Your browser may separately provide autofill, history or clipboard features under its own settings.

If JavaScript is unavailable, the composer is not active. Use the visible telephone, email or WhatsApp contact options instead.

When we receive your enquiry or booking

Once you contact us, we receive the details you choose to send, such as your name, contact information, event date, venue and requested services. We use them to reply, prepare your quote, coordinate an agreed booking and deal with questions or problems. Venue or business representatives may also supply contact and event information so we can coordinate the service.

  • Individual customer enquiries and bookings: we use information necessary to take steps you request before a contract, and to perform a contract with you.
  • Business or venue contacts, service coordination, security and genuine dispute handling: we rely on legitimate interests in answering relevant enquiries, supplying the service, protecting the website and resolving problems, while considering your rights and expectations.
  • Required accounting and legal records: we use the information necessary to meet our legal obligations.
  • Optional marketing: an enquiry is not blanket permission for unrelated promotional messages or publication of your photos. Any such use needs its own appropriate permission or lawful basis.

The website does not profile visitors or make automated decisions about whether to accept a booking. If you do not provide enough information or a way to contact you, we may be unable to reply or prepare a useful quote.

Who may process information?

Relevant information may be handled by our hosting and IT providers, email and messaging providers, accounting or payment providers where used, and people helping us deliver your agreed service. We limit sharing to what the purpose requires. We do not sell your information.

Vercel is the website host. Its privacy notice and data-processing addendum explain its technical processing and contractual safeguards. Email, messaging and other providers may process information outside the UK. Applicable transfer arrangements depend on the provider and service; contact us for information about the recipients and safeguards relevant to your information.

How long is information kept?

We keep enquiry information while the discussion is active and for the period needed to handle follow-up, a resulting booking or a genuine dispute. Information that is no longer needed should be deleted or anonymised. The type of record, the event and purpose, any unresolved issue and relevant legal duties determine the retention period.

Required company accounting and tax records are normally kept for six years from the end of the financial year they relate to, with longer retention where the law requires it. This is not a reason to retain all guest photos or unrelated enquiry details for six years. Technical hosting-log retention is governed by the hosting service’s security and diagnostic arrangements.

Event photos, video and audio recordings

This website does not host guest galleries or store the media from your event. Media delivery, access and retention depend on the agreed event service and any gallery or equipment provider used. Contact us with your event date or booking reference for the information relevant to your event. The event organiser may also have responsibilities for participant information. Public promotional use is separate from delivering the booked service.

Your data-protection rights

Depending on the processing, you can ask for access to your information, correction, deletion, restricted use or a portable copy. Where processing relies on consent, you can withdraw it without affecting lawful use before withdrawal. These rights have conditions and exceptions, including where records must be kept by law.

Your right to object

You can object to processing based on legitimate interests for reasons relating to your situation. We will consider the objection and explain any grounds for continuing. You can object to direct marketing at any time.

Contact us using the details above. We normally respond to a rights request without undue delay and within one calendar month; legal extensions or exceptions may apply, and we will explain them. We may need reasonable information to verify your identity or understand the request.

Privacy complaints

Tell us what happened and how to contact you, by email, phone or post. We will acknowledge a data-protection complaint within 30 days, investigate appropriately, keep you informed and explain the outcome without unnecessary delay. This complaint acknowledgement period is different from the deadline for a data-rights request.

You can also complain to the Information Commissioner’s Office. Raising the matter with us first helps us investigate and respond.

Changes to this notice

We will update this notice when the website or relevant processing changes. New analytics, social-media players, payment tools or other integrations require a fresh privacy and storage assessment before activation.
